Guide for Associate Editors to manage reviewer assignments for assigned submissions

This guide outlines the workflow for Associate Editors who manage reviewer assignments for submissions assigned to them.

Associate Editor Workflow

1. Receive Submission Assignments

Submissions are assigned to you by Track Chairs or Senior Editors (depending on your track's committee structure). Accept or decline each one from the Associate Editor Console before assigning reviewers. If you are also a Track Chair and assigned a submission to yourself, it is accepted automatically.

2. Find Your Assignments

  1. Go to Conferences in the sidebar, then click on your conference
  2. Find the My Associate Editor Assignments card, which lists each track you have submissions in

The card is always on the page while you hold the Associate Editor role — before anything is assigned to you it reads "No submissions assigned". If your conference renamed the role, the card uses that name instead.

3. Assign Reviewers

Click "Assign Reviewers" on the track you want to work in, then select reviewers for each submission.

  • View available reviewers and their workload
  • The system checks for conflicts of interest automatically
  • Assignments appear as pending invitations on each reviewer's Reviews page, where they accept or decline
  • For a later review phase, click "Reuse Reviewers" to re-assign each submission's previous-phase reviewers in one action — previous-phase reviewers are marked with a "Reviewed in [phase]" badge. See Manually Assign Reviewers for details.

4. Monitor Review Progress

Track review completion using the Progress Matrix.

  • view all submissions and their review status
  • See which reviewers have completed, accepted, or declined

5. Write Meta Reviews

Provide summary evaluations for submissions after reviews are complete.

  • Synthesize reviewer feedback into a consolidated assessment
  • Make recommendations based on all reviews
