Guide for track chairs to send email notifications to authors, reviewers, and track chairs

Sending Notifications

Track chairs can send customized email notifications to authors, reviewers, and other track chairs for their managed tracks.

1. Accessing Notifications

  1. Log in to your PaperFox account

  2. Go to your conference dashboard Dashboard

  3. Navigate to your assigned track and find "All Review and Decisions"

  1. Click "Send Notifications"

2. Select Recipients

Choose your conference, track, and recipient role (Authors, Reviewers, or Track Chairs):

3. Filter by Status

Filter recipients by status (e.g., decision type for authors, review completion for reviewers). The system displays recipient counts for each filter: Author Notification

4. Choose Template

Select a pre-built template or create a custom message:

5. Preview Email

Click "Preview Email" to see the rendered message with variables replaced:

6. Compose Custom Message

If you choose a custom template, write your subject and message content. Use variables like {{recipientName}}, {{conferenceName}}, or {{paperTitle}} to personalize each email

7. Send Notification

Review the recipient count, verify your message, and click "Send to [X] Recipients". The system sends individual personalized emails to all selected recipients.
