Publish the Registrants List

Show a curated, email-free list of registrants on your public conference site

PaperFox can publish a public list of who's registered for your conference — names and affiliations only, no email addresses, ever. You control whether the list is published at all, and you can hide any individual registrant from it. The list covers both paid PaperFox registrations and imported external registrants.

Open the Curation Page

  1. Go to Conferences in the sidebar, then click your conference.
  2. Under Registration Management, click "Registrants".
  3. Click "Publish Registrants" in the top right.

This opens the Public Registrants List page — the one place you control publication and curate who appears.

Publish the List

The card at the top is the master switch. Nothing is public until you turn it on.

  1. Flip the toggle on the right of the card to publish. The pill switches to Published and the accent rail turns green.
  2. Once published, "View Public Page" opens the live list in a new tab — it stays disabled until you publish.
ElementWhat it tells you
Published / Not published pillWhether visitors can see the list at all.
On public listHow many registrants currently appear publicly (total minus hidden).
HiddenHow many registrants you've hidden from the list.
TotalEvery registrant — internal and external — in the conference.
Last updatedThe most recent change to any registrant's info.

Email is never exposed

The public list shows first name, last name, and affiliation only. Email addresses are never published, regardless of your settings.

Publishing also adds a Registrants page to your conference's public navigation. Unpublishing removes it.

Curate Who Appears

The table below the card lists every registrant. Each row has a toggle in the On Public List column — switch it off to hide that person from the public list while keeping them in your records.

  • Hide or show a registrant — click the toggle in the On Public List column. The eye icon shows the current state; the change takes effect immediately, no save needed.
  • Sort — click the Name, Affiliation, or Source column header. Click again to reverse the direction.
  • Search — the box above the table filters by name or affiliation.
  • Filter — the Source dropdown narrows to internal or external registrants; the Visibility dropdown narrows to the ones currently on the public list or hidden.

For conferences with many registrants the table is paginated at 50 rows per page. Search, sort, and filter all reset to the first page.

SourceWhere the registrant came from
InternalRegistered and paid through PaperFox.
ExternalImported by a chair from an outside registration system.

What Visitors See

The public page lives at /conference/{your-conference}/registrants and is linked from your conference's public navigation. It shows the non-hidden registrants as a simple, searchable table — name and affiliation — with a "Last updated" date.

Visitors can search by name or affiliation and sort by either column. The list is paginated the same way as the curation page.

Preview before you publish

While the list is unpublished, visiting /conference/{your-conference}/registrants shows a "not available" message to the public — but conference chairs see a full preview with an amber banner, so you can check the curated list before flipping the switch.
