Review Progress Matrix

Track review completion status across all submissions with the progress matrix

The Review Progress Matrix gives you a visual overview of review completion for every submission in your track. Each row is a submission and each column is a reviewer slot, with color-coded badges showing the current status.

Accessing the Progress Matrix

  1. Go to Conferences in the sidebar, then click on your conference
  2. Navigate to your track and click "Review Assignments"
  3. Click the "Review Progress Matrix" link at the top of the assignments page

Understanding the Matrix

Status Badges

Each cell in the matrix shows the assigned reviewer's name and a color-coded status badge. A compact Cell key legend sits inside the matrix container so you can glance at it without scrolling:

BadgeColorMeaning
✓ CompletedGreenReviewer has submitted their review
Pending AcceptanceYellowReviewer hasn't accepted the assignment yet
Not StartedOrangeReviewer accepted but hasn't submitted
DeclinedGrayReviewer declined the assignment
No reviewer assigned to this slot

Stats Cards

Four cards above the matrix summarize overall progress (a fifth Declined card appears only when declined assignments exist):

  • Total — Every review expected in this phase (one per paper × required reviewers). Declined slots still count here.
  • Completed — Reviews submitted, shown as both a number and a percentage of active reviews.
  • Pending Acceptance — Invited, awaiting reviewer response.
  • Not Started — Accepted, no review submitted yet.
  • Declined — Needs reassignment.

Phase Selector and Filter

The Phase selector sits in the top-right of the page header — use it to switch between review phases (e.g., Phase 1: Submission, Phase 2: Revision). The matrix and stat cards update to reflect the selected phase.

Below the stat cards, a Review status dropdown filters the matrix:

  • No Reviews Yet — papers where no reviews have been completed
  • Reviews In Progress — some completed, some still outstanding
  • Reviews Complete — every active slot has a completed review
  • Has Declined — at least one reviewer declined (needs reassignment)

The headline stat cards stay scoped to the full phase even when a filter is applied, so the big numbers don't shift as you narrow the list below.

Exporting Progress Data

Click "Export" to download the progress data as CSV or JSON for offline analysis.

Export dropdown showing CSV and JSON options

The export includes one row per assignment slot with columns optimized for filtering and sorting:

  • Submission Slug and Title — Identify each paper
  • Reviewer Name, Email, and Affiliation — Reviewer details
  • Progress Status — Combined status matching the matrix badges (Completed, Pending Acceptance, Not Started, Declined, Unassigned)
  • Reviews Completed / Reviews Required — Per-submission completion counts
  • Submission Complete — Yes/No flag for papers with all required reviews done

Unassigned slots are included in the export, making it easy to filter for under-assigned submissions.

Sending Reminders

Click "Send Reminder" to email reviewers who need a nudge:

Send Reminder dropdown with pending and not started options
  • Remind Pending Reviewers — Notifies reviewers who haven't accepted their assignment yet
  • Remind Not Started Reviewers — Notifies reviewers who accepted but haven't submitted their review

Each option shows the count of unique reviewers who will receive the notification. Clicking an option opens the Notification Composer with the appropriate template pre-filled.
